Guidelines for Poster Presentations

The following guidelines have been drawn up as a result of experience gained during many previous congresses. We hope that they will be of help to you when you prepare your presentation.

POSTER SESSIONS:

Poster presenters on Wednesday 3 October
(14.00 – 17.00)

Posters for the poster session on Wednesday 3 October should be set up on Wednesday 3
October between from 13.00 – 14.00 hours, the posters need to be dismantled on Wednesday
3 October between 17.00 – 18.00 hours.

Poster presenters on Thursday 4 October
(08.00 – 12.00)/ (14.00 – 17.00)

Posters for the poster session on Thursday 4 October should be set up on Thursday 4 October
between 07.00 – 08.00 hours. The posters need to be dismantled on Thursday 4 October from 17.00 – 18.00 hours.

Poster presenters on Friday 5 October
(08.00 – 12.00) / (14.00 – 17.00)

Posters for the poster session on Friday 5 October should be set up on Friday 5 October
07.00 – 08.00 hours. The posters need to be dismantled on Friday 5 October from 17.00 - 18.00 hours.

Presenters or co-authors are strongly advised to be present at their posters on the times indicated above.

POSTER BOARDS:

The available poster boards have the following measurements:
Size of poster board: 100 cm wide x 200 cm high (potrait)
Size of usable area: 90 cm wide x 190 cm high

TITLE BANNER:

If possible, you should prepare a title banner to go across the top of your presentation.
The title banner should at least have a width of 100 cm and should state:

  • The title of the presentation
  • The name(s) and affiliation(s) of the author(s)

MOUNTING MATERIALS

The organisation will bring mounting materials such as tape, thumbtacks, pins, glue etc.
When designing your poster please provide clear and concise data and LARGE PRINT that is
legible from a distance of at least 1.5 meters.

Instructions for Oral Presentation

Information about your presentation:

  • As speaker you have 25 minutes for your presentation, including discussion.
  • Your presentation should be made in a Microsoft Windows format.
  • If not, please bring your presentation on a USB stick. Please keep in mind that presentation can only be loaded before the session starts and during breaks.
  • Please be informed that we cannot accept presentations in a Zip drive or Macintosh, please inform the seminar secretariat in advance, should this cause any problems.
  • You are allowed to bring your own laptop. However, you should be present in the session room at least half an hour before the session starts and contact the technician.

Procedure in the session rooms:

  • We kindly ask you to be present at least 15 minutes before the session starts.
  • Introduce yourself to the chairman / moderator.
  • For all questions, please refer to the technician.
  • Please allow yourself enough time to check your presentation, especially when you are using movies in your PowerPoint presentation.
